Deputy/Assistant Court Clerk (General)

DEPUTY COURT CLERK: (This is a working level position) (General Description) Duties: Under general supervision, performs a variety of legal procedures relating to the preparation and processing of court cases. May rotate through a variety of assignments within a court based upon operational needs. Work performed: Files court documents and receipts fines, fees and bond payments. Balances and reconciles daily cash receipts. Responds to inquiries from legal and law enforcement community and general public. Researches automated and hard-copy files for case status information. Enters case information into an automated case management system. Generates court documents. Drafts correspondence in reply to requests for case inquiries, record inspections or record searches. Maintains jury lists; issues jury summons; prepares jury instructions and processes juror and witness payments. Maintains logs and records and prepares statistical reports. Qualifications: A high school diploma or GED and one (1) year of experience in court case management, in a legal setting or other relevant experience. Knowledge of local court rules; legal terminology; jury management system; hazardous evidence handling; court records maintenance, retention and destruction; local community services; physical security and evacuation procedures; English grammar; basic math; computer hardware and software; general office equipment and procedure.

BILINGUAL (SPANISH-SPEAKING) DEPUTY CLERK: District of Columbia Courts, Court wide. Washington, DC. Summary: The Bilingual Deputy Clerk works in the operational divisions of the District of Columbia Courts providing secure administrative and clerical support as assigned, and providing effective customer-service to the public, judicial officers, attorneys or staff. Duties: Duties include some or all of the following: assist general public, attorneys, judicial officers or staff; review and process documents or orders; complete forms; provide or receive information; enter or retrieve data using automated databases or manual logs; collect or compile statistical data; type correspondence, reports or other documents; file jackets or case documents. DEPUTY CLERK OF THE COURT OF APPEALS: District of Columbia Courts. Washington, DC. Summary: The incumbent assists the Clerk of the D.C. Court of Appeals in directing the day-to-day activities of the D.C. ASSISTANT JUDGE-IN-CHAMBERS COURT CLERK: Special Operations, District of Columbia Courts. Washington, D.C. Duties: Assists the Judge-In-Chambers Court Clerk in the assembling of all case documents to be heard by the court; maintains strict confidentiality of all documents, especially search warrants and arrest warrants; explains procedures or forms to parties in cases or to the general public; instructs parties about timing of court appearances; administers oath to witnesses; records court proceedings, decisions, case dispositions, and court orders utilizing the CourtSmart and CourtView systems; maintains inventory control over documents and files; assists the Court Clerk during hearings in Chambers; and assists the Judge during such hearings when the Court Clerk is absent. Assists in the preparation of judicial summonses, bench warrants, other legal documents and forms pursuant to the Court’s ruling. In absence of Court Clerk, provides information to attorneys and answers procedures and quasi-legal questions in compliance with rules of the Courts. DEPUTY CLERK I: Second Judicial District Court. Washoe County, NV. Summary: Under supervision, assists with and performs a variety of office support and court support assignments, working with the functions, procedures, and operations of the District Court system; provides word processing and data entry support; provides general information and assistance to the public. Duties: Assists callers and visitors by directing them to the appropriate party, department, outside agency or other resource; responds to public requests for information and inquiries relating to Court procedures in the assigned area; answers questions and provides information within specific guidelines; provides forms, applications, and other materials to the public; retrieves files for the public; makes copies of requested material. Responds to calls and e-mail requests; assist users in resolving problems or routes request to appropriate staff. Performs a variety of responsible clerical support duties including preparing, typing, copying, collating, filing and e-filing various Court documents, forms, reports, records, and other materials in department and/or central files; maintains and updates computer information; assists Court personnel in locating files and documents as necessary. Receives and processes new cases and incoming information, including stamping date on materials received, evaluating type of case, assigning case number, and entering it into the computer system, reviewing documents for completeness and appropriate signatures, verifying conformance to applicable regulations, and ensuring that a case has not been filed previously; inputs changes to cases on computer system; electronically files new cases. Electronically processes petitions, decrees, pleadings, submits, motions, Court orders and Court judgments; processes Court orders for case consolidations, for sealing case files and case documents in accordance with signed Court orders, Court policy and procedures and Nevada Revised Statutes governing the sealing of case files and documents to ensure sealed cases are kept from public view; rebuilds cases that do not exist in current Court operating systems. Receives and maintains filings for various cases, documents, correspondence, and memoranda; reviews documents for completeness and accuracy; submits orders and motions to judge for signature as required; monitors returns on appeals; dockets Court files for destruction. Receives money and issues receipts for fines, administrative assessment fees, analysis of controlled substance fees, attorney fees; forfeitures, security bonds, appeals bonds, cash bails, preemptory challenge deposits, and security deposits. Prepares all types of Court cases for record preservation and retrieval through microfilm, microfiche, indexes, logs, dockets, files, and computer database; verifies the authenticity, completeness, accuracy, and proper order of all District Court cases for permanent official record retention prior to destruction of original files; complies with and enforces all record retention and retrieval regulations, policies, and procedures; prepares, updates, and maintains adequate indexing systems and summary reports of retained records. Collects information about problems, troubleshoots and coordinates with supervisor, as needed, to determine source of error, possible causes and solutions and follow-up for basic problems. May use real-time technology to reduce downtime, increase productivity and to provide interactive assistance; and provide routine operation of microfilm archive writer. Following written instructions from user manuals, training and other resources utilizes software, court management system and personal computer. Qualifications: Two years of office support experience involving extensive public contact, equivalent training to the completion of the twelfth grade. Typing speed: 50 WPM with 95% accuracy. Salary: $27,019 - $41,912 (2011).

COURT CLERK MAGISTRATE III: Second Circuit, United Judicial System. Sioux Falls, SD. Summary: The Court Clerk Magistrate III is responsible for planning, directing, organizing and supervising all personnel assigned to the office of the Court Clerk III. This position is responsible for management of office operational procedures associated with all circuit court cases filed with the court in accordance with the rules and regulations set by the circuit court and South Dakota statutes.   The Court Clerk Magistrate III is required to supervise twenty or more staff. Salary: $39,549 - $45,481 (2010). Duties: may include work in the following areas: case processing, scheduling, records, finance, jury, courtroom support, customer service; technical assistance and computer support, supervision, and other administrative matters, as well as some magistrate functions.  Examples include but are not limited to: providing work direction and supervision, evaluation, and training for 20 or more deputy clerks;  maintaining complete bookkeeping records of all monies collected; recording support payments; maintaining accounts receivable and restitution payments, compiling reports on transactions and statistics; making daily deposits and submitting money to County Treasurer; reviewing legal documents for completeness, adequacy, and accuracy; determining processing required and taking necessary action in accordance with court rules; filing and indexing documents on any new or ongoing action for civil, criminal, probate, juvenile, adoption, mental illness, traffic, family, and small claims cases, as well as appeals; issuing warrants for failure to appear, failure to pay, or other non-compliance; performing wedding ceremonies; scheduling court dates and attending court hearings to record events as they occur; assisting the general public with questions and concerns about court records and judicial procedure. Qualifications: Requires a high school diploma or possession of a GED certificate. Four years of applicable experience, supervisory experience required; or an equivalent combination of education and experience.  Salary: $39,549 - $45,481 (2010).

RELIEF COURTROOM DEPUTY: The United States District Court, Southern District of Florida. Fort Lauderdale, FL. Summary: This position assists District and Magistrate Judges on a relief basis, as a substitute Courtroom Deputy when a Judge’s regular Courtroom Deputy is unavailable. Duties: Manages Judge’s cases by: calendaring and regulating their movement; monitoring filing of pertinent documents and timely responses to judicial orders; and setting dates and times for hearings, trials and conferences. Keeps Judge and immediate staff informed of case progress. Reviews information relating to pending cases to ensure that all records and reference material is available for use by the Judge and counsel. Attends court sessions and conferences. Assists with the orderly flow of proceedings including, but not limited to, setting up the courtroom, assuring presence of all necessary participants, assisting with the selection of juries, and managing exhibits. Takes notes of proceedings and rulings, and prepares minute entries. Prepares judgments and other orders for the Judge’s review and signature. Performs data processing as needed for Court’s automated maintenance of records. Assists in the accurate statistical reporting requirements of the Administrative Office. Acts as liaison between the Clerk’s Office, the Bar and the Judge to ensure that cases proceed smoothly and efficiently. Serves as a primary source of information on scheduling conferences, hearings, trials, and other case processes. Reviews CJA vouchers for inconsistencies in reporting in-court hours by court appointed attorneys. Performs case administration duties and/or provide assistance to employees performing case administration duties. Performs all functional duties associated with the Clerk’s Office. These duties include, but are not limited to, intake, automated case management, appeals, records, financial reports, and jury. Accepts, files and dockets civil and criminal cases and pleadings; acts as local information source for litigants and the public. Requires occasional travel to other offices. MAGISTRATE COURTROOM DEPUTY CLERK: The United States District Court, Southern District of Florida. Fort Lauderdale, FL. Summary: Incumbent manages cases assigned to the Magistrate Judge and maintains control of those cases. Duties: Examines all papers filed to determine that they conform with Federal Rules of Criminal and Civil Procedure and local rules for the Southern District of Florida. Uploads filings, notices and orders into the electronic case management system CM/ECF). Calendar and regulate movement of cases by fixing, or resetting dates and times for hearings; notifies counsel, other parties and other agencies concerned. Prepare calendars and act as liaison between Magistrate Judge, counsel, the clerk’s office and the public to ensure cases proceed smoothly and efficiently. Prepare special reports for Magistrate and Clerk’s Office on status of cases assigned. Call court calendar, note appearance of counsel and maintains minutes of all proceedings. Memorialize proceedings via digital audio recording device or other equivalent system. Attend court proceedings. Compose substance of minute orders. Perform data processing as needed for Court’s automated maintenance of records. DEPUTY ADMINISTRATIVE CLERK: District 6, Montgomery County. Rockville, MD. The main purpose of this position is to oversee and assist with the day to day operations of all District Court facilities in Montgomery County - Rockville and Silver Spring locations.  Duties: Supervises two division chiefs, two managers, human resources associate and their staff to ensure all locations of District 6 are managed efficiently and effectively. Travels to both District 6 locations to meet, discuss, develop and implement policies with managers. Advises subordinate supervisors in resolving complex personnel and customer service issues. Mentors subordinate supervisors with respect to fundamental management techniques. Direct contact for issues concerning building and renovations.  Acts as local ADA coordinator for related issues and requests.  Conducts supplemental proceedings in courtroom and on the record.   Develops policies and procedures for review by the Administrative Judge and Administrative Clerk. DEPUTY COURT CLERK: Municipal Court. Fort Worth, TX. Summary: The qualified candidate will supervise, assign, review and participate in the work of employees responsible for performing a variety of clerical, administrative and accounting duties in support of the municipal court; to ensure work quality and adherence to established policies and procedures; and to perform the more technical and complex tasks relative to assigned area of responsibility. Duties: The selected candidate will provide administrative support to the Clerk of the Court and should possess strong financial skills. Must be able to develop and maintain high level reports. Must have the ability to manage multiple complex processes and projects. This position involves heavy telephone and direct public contact. CHIEF DEPUTY CLERK (JSP TYPE II): United States Bankruptcy Court, Eastern District of California, Office of the Clerk. Sacramento, CA. Summary: The Chief Deputy Clerk is an executive-level position. In partnership with the Clerk of Court and the position’s direct reports, the incumbent has responsibility for all administrative and operational elements of the Clerk’s Office. Duties: Applicants must have a performance history that demonstrates strong organizational, prioritizing and problem-solving skills; the ability to work harmoniously with others in a team-oriented work environment; have strong oral and written skills; and have experience in successful project management, including managing multiple projects simultaneously. Qualifications: Applicants must have a minimum of six years experience; three years of general experience and three years of specialized experience. At least three of the six years must have been in a position of management responsibility. Education above the high school level in accredited institutions may be substituted for the general experience on the basis of one (1) academic year (30 semester or 45 quarter hours) equals nine (9) months of experience. DEPUTY IN CHARGE: Pocatello, ID. United States District and Bankruptcy Court for the District of Idaho. Summary: This position will be located in the United States Courthouse in Pocatello, Idaho. The District of Idaho currently supports two District Judges, two Bankruptcy Judges, four Magistrate Judges and three 9th Circuit Court of Appeals Judges. Incumbent will act as resident authority for the office in a variety of areas, including any of the following: courtroom services, calendaring, facilities coordination, jury administration, automation maintenance, finance, procurement, and construction project management. COURTROOM CLERK I/II: Superior Court of California, County of Kings, Hanford, CA. Summary: The Superior Court of California, County of Kings, is accepting applications for full-time Courtroom Clerk I/II position located at the Hanford site; however the assignment could be located at the Corcoran, Avenal or Lemoore Courts. COURTROOM CLERK, CLERK OF THE SUPERIOR COURT: Superior Court of Arizona, Mohave County. Duties: Under close to general supervision, undertakes and performs a variety of tasks associated with the handling of statutory and/or locally required Clerk of Court functions within the courtroom. Provides the official record of court activities and assists in the clerk’s office performing a variety of pre-court preparation and post-courtroom activity follow-up. As experience is gained, incumbents work more independently on an expanded variety of assigned duties.
