Administrative Secretary

EXECUTIVE ASSISTANT: Minnesota District Court, Second Judicial District, St. Paul, MN. Summary: The Second Judicial District has an exciting opportunity for a full-time Executive Assistant in the District Administration office of the Second Judicial District. The incumbent performs clerical, administrative, and other duties in the district office.  The district office and the Executive Assistant support the judges, staff, and court operations in the Court’s four divisions. The position has significant contact with judges, court staff, and the public. The position reports to the District Administrator. Duties: Assist those visiting the District Administration office, and those who call. Provide information to those requesting it. Prepare correspondence in accordance with established policies and procedures. Keyboard a variety of complex materials, administrative and public reports for reproduction and distribution. Prepare complex spreadsheets, worksheets, and tables. Prepare meeting agendas in accordance with established practices, make facility and meeting arrangements, and prepare meeting materials. Attend meetings and conferences. Take notes and meeting minutes. Schedule meetings and reserve meeting resources. Maintain filing systems. Process mail. Maintain records on office activities pertaining to personnel, purchasing, travel expenses, contracts, billings, legislation, information requests, and related activities. OFFICE AIDE: Superior Court of New Jersey, Camden Vicinage. Duties: The New Jersey Judiciary is seeking an individual who is an organized self-starter to provide office support by performing tasks such as record and file storage; preparation and organization of  filing systems; moving records, files and boxes; data entry; sorting mail, cards, letters, forms or other documents; perform other related duties as assigned. ADMINISTRATIVE SERVICES ASSISTANT I/II (CONFIDENTIAL): Superior Court of California, County of Kings. Summary: The Administrative Services Assistant classification series encompasses court administrative clerical support functions which are utilized in the Superior Court’s Executive Office. The Administrative Services Assistant I is the entry level classification in the series. Initially, incumbents work under close supervision and learn about assigned projects or programs and the administrative support required. As experience is gained, there is greater independence of action within established guidelines.  The Administrative Services Assistant II is the journey/experienced level in the series, that works under general direction, performing a wide variety of technical and responsible court administrative support duties for the Court Executive Office, Judicial Officers, and Management Staff. This classification series reports directly to the Senior Executive Services Coordinator. Duties: Essential duties include, but are not necessarily limited to: Performs administrative, clerical and judicial support projects for the Judges, Court Executive Officer, and other administrative personnel. Screens office visits and telephone calls, refers to appropriate staff members and/or provides routine information on court programs and policies as directed; answers complaints and diffuses disgruntled individuals with tact and diplomacy. Performs administrative support to the Court Management Staff. Summary: This position works under the general supervision of the Legal Counsel for the Administrative Office of the Courts Legal Division. ARBITRATION PROGRAM ASSISTANT: Superior Court of New Jersey, Monmouth Vicinage. Summary: The Monmouth Vicinage is seeking an energetic, dependable, detail-oriented individual to work on a part-time basis in the Civil Arbitration Program. Under the general direction of a supervisory officer, this position will be responsible for entering data into the Automated Case Information System (ACMS); explaining judiciary policies or procedures to customers or clients, including program eligibility requirements; reviewing correspondence and data processing output for accuracy; processing mail; answering telephone inquires; operating various types of office machines; filing; and performing related duties as required. Qualifications: One year of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, handling payments for fees, recording monies received, transcribing information, reconciling balances or accounts, scheduling meetings or appointments. Summary: Under the direction of the Deputy Director of the Administrative Office of the Courts (AOC), this position, provides administrative support to the Deputy Director and staff of Administration as needed. On certain occasions, provides support to the IT managers. Duties: The incumbent is responsible for a broad variety of clerical, secretarial and administrative support duties. ADMINISTRATIVE ASSISTANT: U.S. Court of Appeals, Eleventh Circuit. Summary: The Circuit Executive’s Office has a position open for an Administrative Assistant to discharge secretarial, administrative, and clerical responsibilities for the Eleventh Judicial Council. The Administrative Assistant reports to and works directly with the Deputy Circuit Executive and the Assistant Circuit Executive for Administration. Duties: The Administrative Assistant performs secretarial/administrative duties as assigned which require the highest level of quality. Such duties include but are not limited to: answering and referring telephone calls, preparing routine correspondence in draft form, creating and maintaining spreadsheets and database reports, maintenance of property records serving as contract procurement officer, and maintaining loose-leaf periodical publications. Duties: In addition to receptionist duties the person assists with a variety of administrative tasks including auditing and preparing vouchers for payment. Assists with the delivery of court documents for filing and deliveries to the Office of the U.S. Attorney and other agencies. Summary: Performs routine and relatively complex administrative support and/or technical assistance work for an associate judge who handles child support cases. Work is performed under the supervision of the associate judge with latitude for the exercise of independent judgment. Duties: Input case information into case management software program and generate reports to monitor compliance with federal and state expedited process time frames for child support cases. Maintain docket or calendar system for tracking and managing cases as they proceed to disposition. Assist child support associate judge with court proceedings as required by associate judge. ADMINISTRATIVE SECRETARY: San Francisco, CA. Summary: Under general supervision, the Administrative Secretary’s primary responsibility will be providing confidential support services to the Assistant Division Director of the Business and Planning Unit of the Office of Court Construction and Management (OCCM), as well as the staff of the unit. Judicial/Legal Secretary

JUDGE’S SECRETARY 1: Superior Court of New Jersey, Monmouth Vicinage. Summary: The Monmouth Vicinage is seeking a well organized, detail oriented secretary to provide support to a Superior Court Judge in the Family Division. Duties: The selected individual needs strong technical ad administrative skills to support the judge. Conforming judge’s orders and maintaining the workflow in/out of judicial chambers; communicating the judge’s schedule with division administration and case management personnel; preparation and submission of local and state reports; management of incoming and outgoing communications, including mail, telephone, case conference calls and follow-up of same; procuring supplies and equipment and inventory for chambers, and any additional duties as required and assigned. Qualifications: Three years of experience in an office environment performing a variety of clerical and support services to include typing and one or more of the following: preparing and analyzing legal documents, processing legal or other documents, transcribing information, and scheduling meetings or appointments. COURT SERVICES ASSISTANT: Superior Court of Arizona, Mohave County. Duties: Performs work of considerable difficulty in case processing and legal clerical duties for the clerk of superior court. This is a working/journey position that works under general supervision. Work assignments may be in one or more case type areas including but not limited to front counter, distribution, child support, fines, restitution and jury. The incumbent applies judgment to diversified subject matter, selecting appropriate guidelines and in applying general policies and procedures. Position involves docketing, setting up of guardianship, conserveratorship and probate case files. Monitoring, auditing and analyzing files to ensure annual accounting disbursements are in accordance with the direction of the court.
