Administrative Secretary

DOCUMENT TECHNICIAN: U.S. Bankruptcy Court for the District of Arizona. Phoenix/Tucson, AZ. Summary: Two positions will be located in the Phoenix Office and one position will be located in the Tucson Divisional Office. The Document Technician will receive and check incoming documents for conformity with federal and local rules in accordance with approved internal controls, procedures, and rules. The documents become the official basis of court actions. The Document Technician also interacts with the judges and their staff and other clerk’s office staff. The start date is approximately May 4, 2009. Duties: Receives, scans, and reviews incoming documents to determine conformity with appropriate rules, practices and/or court requirements. Retrieves files and makes copies of records for court personnel, attorneys, and others. Files documents meeting requirements. Routes documents to proper offices/persons after acceptance. Makes entries on the docket of certain documents in certain proceedings. Creates and updates certain matrix mailing lists which includes addresses and nature of addressees. Maintains integrity of the filing system by such means as monitoring proper access to records and maintaining timely and accurate filing of documents. Prepares and ships records to the appropriate Federal Records Center and retrieves records from centers when needed. Sort, process, and distribute mail. Maintain a mail log. Operate a variety of copying and mail equipment. Performs other duties as assigned. Qualifications: Incumbent must be a high school graduate or equivalent for placement at the CL 22, Step 1. ARBITRATION PROGRAM ASSISTANT: Civil Division, Middlesex Vicinage, Superior Court of NJ. New Brunswick, NJ. Summary: Middlesex Vicinage is seeking an energetic, dependable, detail-oriented individual to work on a part-time basis in the Civil Arbitration Program. Duties: Under the general direction of a supervisory officer, this position will be responsible for entering data into the Automated Case Information System (ACMS); explaining judiciary policies or procedures to customers or clients, including program eligibility requirements; reviewing correspondence and data processing output for accuracy; processing mail; answering telephone inquiries; operating various types of office machines; and performing related duties as required. BILLING ASSISTANT: New Jersey Judiciary, Trenton NJ. Duties: Seeking a detail-oriented individual to provide a variety of administrative functions for the Supervisor of the Billing Unit. The selected individual will process responses and annual billing notices including sorting into categories and thoroughly checking all returns, updating computer information for changes, corrections and additions to the master list of attorneys, verifying account number totals of lockbox bath payments, assisting with mailings, entering attorney profiles into a database, performing routine alphabetizing, copying, filing, preparation of items for mailing, and other related duties as required. TRANSCRIPTIONIST: Kansas Judicial Branch. Summary: This is responsible, detailed work preparing certified copies of court proceedings from tape recordings. Work performed by incumbents in this class includes operating tape-recording equipment; setting up, typing, and certifying the correctness of transcripts of court proceedings; and maintaining files of tapes and transcripts.  An incumbent may supervise one or more typists or may occasionally perform some duties of a court clerk. Work is performed under the supervision of an administrative judge or court administrator and is reviewed by conferences and evaluation of results obtained. Duties: Operates and oversees the maintenance of tape-recording equipment used to record official court proceedings; insures that equipment is in good working condition. Prepares official transcripts of court proceedings as requested; certifies correctness of transcripts prepared. Develops and maintains records and filing systems to facilitate storage and retrieval of transcripts and tapes. Performs related work as required. Qualifications: Graduation from high school, including or supplemented by courses in typing, and two years of experience as a typist including at least one year of court-related experience. Summary: The Judiciary is seeking a hearing officer to conduct hearings on requests for Temporary Restraining Orders (TRO) in the Family Division of the Union County Superior Court. ADMINISTRATIVE ASSISTANT: Office of the Registrar of Wills, District of Columbia Courts. Washington, D.C. Duties: Provides secretarial support to the Register of Wills/Director Probate Division. Operates personal computer to type correspondence and/or reports, to enter and retrieve data, and to prepare reports or other court documents. Composes correspondence and reviews outgoing documents for appropriate format, grammatical and spelling accuracy, and conformance with division directives. Answers telephone and walk-in inquiries and provides assistance regarding procedures or scheduling inquiries from court staff, judicial officers, attorneys, other governmental agencies, and/or the public. SECRETARY/MEETING PLANNER ASSISTANT: United States Court of Appeals, Eleventh Circuit, Atlanta, GA. Duties: The functions of this position are to assist in coordinating and conducting a conference of judges and attorneys at an off-site location. Incumbent will perform various functions for conferees such as: print, assemble and collate meeting materials; prepare and proof text of printed materials; receive and process records of registration, payments, and prepare reports; coordinate with vendors; contact vendors to arrange social events; make travel arrangements with contracted travel services; coordinate ground transportation at origin and destination; and coordinate CLE credits with multiple bar organizations. Qualifications: Excellent communications skills, ability to work independently, strong organizational skills and attention to detail. Word processing skills (WordPerfect and Word), Excel, and database skills are desired. High school graduation, or the equivalent, plus two years general experience and one year specialized experience. Progressively responsible general clerical or secretarial experience which provided a good knowledge of office clerical practices such as filing, telephone protocol, word processing, record keeping, sorting and distributing mail. ADMINISTRATIVE SPECIALIST 3: Operations Division, Gloucester County, Superior Court of New Jersey. Summary: Under the direction of a Court Executive 2B (Operations Division Manager) or other supervisory personnel, this individual will provide technical advice and assistance regarding audio/video recording and video conferencing to supervisors and managers in all divisions. Duties: Also includes the use of sound recording and video equipment, copying tapes and processing transcript requests.  Individual keeps abreast of new methods, techniques and equipment used in sound recording, ensures tapes and/or video recordings of court proceedings are properly stored, maintains sound recording equipment and maintains necessary records and files.  The individual will also provide support to vicinage facility operations, records coordination, and law library as needed.  Performs related duties as required. COURT SERVICES OFFICER TRAINEE: Superior Court of New Jersey, Salem County – Civil Division. Summary: The New Jersey Judiciary, Vicinage #15, is searching for a self-starter to join a case management team as a professional trainee in the Civil Division. The selected individual, as a trainee and productive worker, will receive on the job training in case management procedures. Duties: The selected individual will assist in performing case management and intake functions including analyzing, monitoring and processing cases in accordance with court rules and established practices; working with the Judges and team leaders to set priorities; scheduling and maintaining trial calendars; organizing work to ensure efficiency. The selected individual will receive training in: screening cases for possible referral to a complementary dispute resolution program as appropriate; reviewing cases to determine discovery and/or case management needs; and monitoring cases to ensure compliance with discovery deadlines and case management orders. SECRETARY:  Superior Court – Drug Court, Kingman, Arizona. Duties: Under general supervision, this position includes undertaking, performing, and providing a variety of secretarial, clerical, office services and related support associated with the operation and functions of the Superior Court Drug Court. Qualifications: Requires a high school diploma or GED AND three (3) years of relevant, progressively responsible secretarial, legal secretarial, clerical, customer service or closely related experience OR any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. ADMINISTRATIVE SPECIALIST 1: Duties: Maintains general accounting and fiscal functions including, but not limited to: processing invoices and vouchers, preparing monthly expenditure reports, and compiling year-end summaries.  Coordinates Human Resources functions such as: employee file management, payroll processing including balancing leave accruals, contract administration, benefit-related recordkeeping, light screening/interviewing of applicants, and performance appraisal distribution and collection. JUDICIARY SECRETARY 2: Office of Trial Court Services, Family Practice Division, AOC, Trenton, NJ. Summary: The New Jersey Judiciary is seeking a detail-oriented individual to provide a variety of confidential secretarial support and administrative functions for the Assistant Director and/or Chief. Under the direction of a Court Executive in the Family Practice Division the selected individual will prepare minutes of meetings and type or transcribe varied types of information, including minutes of conferences, narrative statements, correspondence, memoranda, reports and recommendations, including personnel maters which may be of a confidential nature; compose routine correspondence, such as form letters or standard replies to inquiries; screen confidential material for release to the public or other authorized persons/agencies; schedule meetings and conferences; manage the schedule of a Court Executive; properly direct phone calls; request needed information from individuals, agencies, office visitors or customers; develop and maintain a filing system; serve as an office leader to other support staff by providing training, guidance, and direction and advising managers of any personnel matters; maintain records on leave time and performs other related duties as required. JUDICIAL ASSISTANT – COUNTY COURT: Hendry County Courthouse, LaBelle, FL. Summary: This is significantly responsible work performing a variety of complex administrative and secretarial duties for the purpose of managing the office of a County Court Judge. Duties: Working contacts are made with Judges, Offices of the Clerk of Court, Court Administration, State Attorney, Public Defender, private attorneys, Staff Attorneys, state and local law enforcement agencies, the news media, and the general public. The purpose of these contacts is to receive, convey, and explain detailed information regarding county court procedure and policy. Work is often of a confidential nature. Extensive contact with persons involved in litigation may create stressful work situations. Work requires independent judgment and is performed under general supervision of a County Court Judge. Qualifications: Graduation from a standard high school or an equivalency diploma and four years of responsible experience as a legal secretary or paralegal assistant. A Bachelor’s degree from an accredited four-year college or university may substitute for the recommended experience. Knowledge of: County Court rules and procedures (including civil traffic, criminal traffic, domestic violence, misdemeanor, and small claims); Windows 97 and Windows 2000; Word, Excel, and PowerPoint. Ability to: manage the Judge’s calendar by coordinating and scheduling pre-trail hearings, trials, conferences, committees, etc.; determine the type of case or hearing and allotted time required for scheduling; monitor status of cases assigned to Judge; coordinate and schedule courtroom assignment and support personnel; act as liaison and receptionist for the purpose of greeting, assisting, and informing litigants, attorneys, law enforcement personnel, witnesses, etc., regarding court procedure and policy; type 65 wpm; ability to communicate clearly both orally and in writing, with excellent spelling and grammar; ability to handle emotionally upset and demanding individuals with courtesy and patience; establish work priorities; work independently; plan, organize and complete special assignments with minimal or no supervision. LEGAL SECRETARY/INTERPRETER: Federal Public Defender for the District of Columbia. Qualifications: Knowledge of motions, briefs and other legal procedures regarding criminal practice preferred. Ability to examine documents for accuracy and completeness required. Must possess excellent oral and written communication skills, ability to type a minimum of 65 wpm, experience with WordPerfect and ability to get along with people. Ability to speak Spanish is preferred. Salary: $44,856 - $49, 397 annually. (2006)

LEGAL SECRETARY: (General Description) Summary: Provides high-level secretarial and administrative support to a judge or attorney. Duties: Works with considerable independence, uses judgment and initiative to set priorities and makes decisions about work. Types and edits opinions, agendas, correspondence, creates and maintains administrative files, coordinates arrangements for meetings, coordinates travel arrangements, and answers or directs telephone inquiries, mail and visitors to appropriate staff. May interact with other judges, legislators, and other elected officials. Must be able to use tact and maintain confidentiality appropriately. Qualifications: Requires some advanced education and a minimum of five years increasingly responsible, high level secretarial experience. Experience working with elected officials is preferred.
